This is the third in a series of four articles which support you in the process of switching from Read2 to SNOMED codes within your Docman system.
If you have not yet read the first or second articles in this series, follow the links below.
This third article will guide you through the steps to apply the mapping tool, then identify and manage any unmapped codes from Read2 to SNOMED, and how to sign them off.
The mapping process is split into 3 stages:
Stage 1 - Apply the Mapping Tool
- From the Home page select Settings, and from the Settings Console menu select Organisation Settings
- From the Organisation Settings menu select Integration, from the Integration menu, select Clinical System
- Select the button Map READ2 to SNOMED, the system will prompt you 'Are you sure?', select Yes and the mapping tool will confirm the process is complete with a green pop up in the bottom right of the screen moments later
- Scroll to the bottom of the page and select Update
This stage has applied the mapping tool to the lists and templates which hold clinical codes.
The next stage will enable you to check and amend any entries that have not been mapped successfully.
Stage 2 - Review of the Templates lists
- In the Settings Console menu, select Filing, then select Templates
- In the Filing Templates list, any templates that have not been mapped by the tool will be highlighted in RED
- Select a RED highlighted template, open it and scroll to the Mapped SNOMED Codes field
- Select the field and the Clinical Code Browser opens, type in the name of the code required, select your preferred code from the list
- Tick the Mark as 'signed off' box in the field below
- To save the changes, scroll to the bottom of the page and select Save
- Repeat for all the Filing, then Templates
- Then open Intellisense Templates from the Filing Settings menu
- And repeat the steps 3-6 for all RED entries in the Intellisense Templates list, ensuring you check ALL pages of the list.
By completing this stage, you have manually amended all the unmapped codes from the templates, and signed off each one. The next stage will look at 2 lists in the system and allow you to sign these off too.
Stage 3 - Review of the Code Lists
- In the Settings Console > Filing, select Pre-defined Filing Codes
- The page is split into 3 sections:
- Clinical Codes - The existing Read codes
- Mapped SNOMED Codes - Codes that the mapping tool has successfully found
- Unsupported Codes - Highlighted in RED, codes that have not been mapped by the tooling
- Above the Unsupported Codes list is a Select Code field. For each entry in the Unsupported Code list, open Select Code
- Search for the code required from the Unsupported code list to find in the SNOMED list, and select Confirm
- Repeat for all the entries in the Unsupported Codes list, until they are all added to the Mapped SNOMED Codes list above
- Once you have completed steps 3-5 for all entries in the Unsupported Codes list, tick the Mark as 'signed off' box below the list
- To save all the changes, select Update
- From the Settings console, go to Clinical Coding, then Pre-defined Clinical Codes
- Repeat the steps 3-7 for all RED entries in the Unsupported Codes list
The final stage of this step ensures that all lists are complete with their SNOMED equivalent codes, and that you have signed them off to ensure continuation for all users.
