Patient Visibility settings when Filing - Review

This article will show you how to set the patient visibility settings when filing a document that requires a review.

When Filing Documents

When filing a document you will have the choice of whether to:

  • File the document with NO Review / Workflow required

  • File the document and workflow to chosen recipient(s)

Let's take a look at the process for the second scenario.

File the document and workflow to chosen recipient(s)

When a document is filed to the patient record, and a review is required:

  1. In the Create Review dropdown field, either Start Review immediately after filing, or a Workflow template is selected
  2. And the Add Document link to Emis Web tick box is selected

The user filing the document is NOT prompted to make decision about the visibility, this responsibility is passed to the workflow recipient(s).

As the document has been sent for review / workflow, the document entry in the patient record in EMIS will be marked as Provisional and the document is not visible to the patient currently.

We would recommend when filing, users add an instruction to the workflow review to inform the recipient that a decision is required for patient visibility via online services.

The Add document link to Emis Web tick box can be pre-selected on Filing & Intellisense Templates, this can ensure the box is ticked by default in most situations when filing.

Audit activity in Docman

When a decision is made to set the visibility of a document, the document audit entry will include the date, time and users name who made the decision. And the audit will be updated with a statement of either:

Document has not been set as viewable for patient in Emis Web

Or

Document has been set as viewable for patient in Emis Web

Annotations when Filing

If a user Erases or Redacts part of a document at the point of filing, this will form part of the original document filed into EMIS. Therefore the edited document will be available to the patient via online services assuming the Visible to patient (via Online Services) tick box was selected.
