How to Create a Task Template

This article will explain what Task Templates are, and how they can help manage your tasks, ensuring specific tasks are completed.

Task templates are a great way to design tasks according to your organisation’s processes. You can decide which users or groups should receive the task, and define priorities and due dates.

To create a Task template:

  1. Select Settings from the top right-hand corner of your screen.
  2. Select Tasks on the left-hand side of the Settings Console.
  3. Select Task Templates under the drop-down. Any templates that are already configured are shown in the list view.
  4. Select Create New Template at the bottom of the page.
  5. Enter the Name of the task under Task Template Details. The name of the task is as it will appear in the recipients inbox and should make it clear what action is required.
Use descriptive task names that your team will understand. The name you choose will be visible on their task cards.
  1. Under Task Template Available When, choose from one of the following:
  • Section: should the task only be available for patient documents?
  • Workflow Type: is this used in a document review or from within a discussion?
  • Category: Tasks can be given a category to filter which tasks are shown according to the category of the document review. This is useful for very large organisations that wish to divide their activities by department or speciality.
  1. Choose your Task Type under Task Creation; choose from one of the following:
  • Clinical Action: sends a Coding Task.
  • Review Action: This sends a Task.
  1. Select Manage Members.
  2. Type in the User or Group you would like to receive this Task.
  3. Select Confirm once you have chosen your users/groups and they appear under Selection.
  4. Under Task Options, choose your Task Category and the Priority of the task, e.g. Low, Normal or High.
  5. Enter the Due In (Days) if there is a specific timeframe this task needs to be completed in. If not, skip this step for it to remain as default.
  6. Under Task Completion, select whether any member can complete it, or if all members must complete it.
  7. Select Create.
