How to Move a Document

John Austin Updated by John Austin

This article describes how you can move a document using the Document Clipboard.

Documents can be moved between patients due to errors made when filing. This saves paper and time for a user to download, print and scan in a document again. This also maintains the audit of the original entry of the document into the system.

  1. Search for the Patient record, and identify the document to be moved.
  2. From the Document Actions panel, select Add to Clipboard. The Document Clipboard field will go bold and show 1 in blue.
  3. Use the Search field to identify the patient you want to move the document to.
  4. Select the Document Clipboard from the Document Actions panel. The Document Clipboard pop up will appear.
  5. Select the document added to the Clipboard.
  6. Select the Move button.

The document will be moved to the correct patient record with the same Filing Details, the document link will also be pushed into your clinical system. Any Tasks related to this document will be refreshed and updated with the correct patient information, regardless of which user or group has the Task in their inbox.

When you move a document to the correct patient in Docman, the clinical system will have the new document linked to the correct patient. However, as the system is not permitted to delete information from the clinical system, you must delete the incorrectly filed document manually from within your clinical system.
