Setting Patient and Document Security in Docman

This article will show you how to set security different security for both Patient Records and Documents.

Restricting access: This allows you to specify any individuals or groups that you do not want to access a specific Patient Record or Document 

Allowing Access: This allows you to specify the individuals or groups that you want to access a specific Patient Record or Document. 

Allocating any restrictions to a patient or a document is managed easier by creating a group and managing the members of the group, rather than individual users. By following the steps below you can allow or restrict to a group you have created.

Setting Security on Patient Records

Security can be added at a patient level to either allow access or restrict access for individuals or groups.

Follow the steps below to allow or restrict access for individuals or groups:

  1. From within a Patient Record select the Patient Details bar.
  2. Select the Security tab.
  3. Choose either Restrict Access or Allow Access.
  4. Select set Security.
  5. Select User Search.
  6. Search for the User or Group that you wish to Restrict or Allow Access to the patient record.
  7. Choose the User or Group.
  8. Select Confirm.
  9. Select Save.

 

Setting Security on a Document

Security can also be added at a Document level to either Allow Access or Restrict Access for individuals or groups.

Follow the steps below to allow or restrict access for individuals or groups:

  1. Select the Document you wish to set security on.
  2. Select Filing Details from the Document Actions panel.
  3. Choose either Restrict Access or Allow Access.
  4. Select set Security.
  5. Select User Search.
  6. Search for the User or Group that you wish to Restrict or Allow Access to the patient record.
  7. Choose the User or Group.
  8. Select Confirm.
  9. Select Save.

 

Reporting on Secured Documents

To report on secured documents, the user must have the Restricted Content Manager role on their user profile.

Follow the steps to run the Secured Documents report.

  1. From the User profile, select Switch Role.
  2. Select Restricted Content Manager.
  3. From the Home screen, select Apps.
  4. In the Apps menu, select Reports.
  5. Select Documents.
  6. Select Secured Documents.
  7. There are no filters to apply, select Run Report.

As with all reports you may export the results to a .CSV file to manage as required.
