Release 261 Release Notes - November 2025

This page contains details of new and amended functionality included in the software update scheduled for 10th to 18th November 2025, known as Release 261.

Scotland pilot site will receive this release in advance of the main release dates.

Medical Records Error

What have we done?

(Internal Reference D10-9323/D10-14431) An error was found in some records being posted to the Clinical System, if the “Notes” field had any of the following characters: • < • > • / • & • “ (speech mark) • ' (apostrophe)

Why have we done this?

Medical Records where the “Notes” field contained any of the listed characters were not being sent to the Clinical System.

How will you benefit?

Medical records will be posted to Clinical System.

Details of the change

Code fixed, any outstanding records will be reprocessed if needed.

Technical Change – Error Handling

What have we done?

(Internal Reference D10-13775/D10-14741) Identified an error in the internal logs, and resolved the issue causing it.

Why have we done this?

To rectify an internal logging error.

How will you benefit?

There will be no change to end users.

Details of the change

Document annotation in Tasks and Filing was causing an error in the internal logs.

DDE Tool Updates

What have we done?

(Internal Reference D10-14003/D10-14428, D10-13946/D10-14400, D10-13947/D10- 14401, D10-13948/D10-14422, D10-14416/D10-14429) The DDE tool has been updated to comply with NHS England Data Migration Standards. This covers the following changes:

Produce a mapping file export, for support use to track tool success Extract to include Audit data Extract to include Task and Workflow information Extract to return document folder paths Provide a new and separate list of deleted documents in the export

Why have we done this?

To comply with NHS England Data Migration Standards and to assist Internal support team when running the tool.

How will you benefit?

There is no change to end users, this tool is used by One Advanced Services.

DDE Tool updates.

RTF File generates “Exception” and sad face error

What have we done?

(Internal Reference D10-14192/D10-14836, Scotland defect DFCT0011317) Resolved the exception and sad face error on screen, to show the correct error handling message

Why have we done this?

Scotland project team reported this error with RTF documents.

How will you benefit?

The correct error and action to take will now be shown.

Details of the change

Code change

Scotland - SCI Gateway POST and GET Pre-Signed URL

What have we done?

(Internal Reference D10-14320/D10-14733 & D10-14321/D10-14734) Amended the SCI Gateway POST and GET to facilitate pre-signed URLs if needed.

Why have we done this?

To circumvent the file size limitations which can be caused by AWS payloads increasing the file size over the 10mb limit.

How will you benefit?

Scotland will be able to post and get documents up to 10mb in Docman, as expected.

Details of the change

Solution is fully outlined in the SCI Gateway specification v3.0, which is providing a pre-signed URL for POST and GET operations via the SCI Gateway.

Document Annotation, Redaction and Rotation Management

What have we done?

(Internal Reference D10-13854/D10-14735, D10-13736, D10-13783, D10-13784, D10- 13785) The Rotation icon and “Save Rotation” options will be hidden if the user starts annotating a document, and will remain hidden and unavailable until the annotation is saved.

Why have we done this?

The document annotation, rotation and redaction operations are not working together harmoniously. We have had reports that:

• When applying a large number of redactions to a single document, they are not applied • Rotation is not being saved if an annotation has been done, and this prompts the user to action the “Rotation save” which if follows, causes an error message to show. • When the annotation tool is open and a document is rotated, a new annotation cannot be done.

How will you benefit?

Rotations, redactions and annotations will work together correctly, reducing effort and frustration with the current known issues.

Rotation and annotation/redaction operations will be saved before any other operation can be done.

Scotland only – DTA Issue with Folder selection

What have we done?

(Internal Reference D10-14966) Fixed an issue in the DTA for Scotland sites, where the document import was always sending documents to “Not in a folder”.

Why have we done this?

The DTA was sending documents to “Not in a folder” for Scottish sites, even if a folder had been specified on the import operation.

How will you benefit?

Scotland will be able to specify a folder for individual pages or a whole document – this is as per DTA behaviour for UK sites.

OCR Document Handling Improvement

What have we done?

(Internal Reference D10-14967) Update the Docman application to identify any documents which have been requested to be OCR’ed via DTA but have no content in Docman.

Why have we done this?

To mitigate any failures with the OCR operation for scanned documents into the DTA, which can happen when using Windows 11 machines. This has been identified via internal testing and is a precautionary measure.

How will you benefit?

Documents failing OCR in DTA will be identified and rectified in Docman App.

Details of the change

If the OCR via DTA fails, the document will be OCR’ed in the Docman app instead.

OCR of Colour Documents

What have we done?

(Internal Reference D10-15019) Updated the DTA compression type when OCR’ing document

Why have we done this?

OCR in DTA may fail if a colour document exceeds file size limits.

How will you benefit?

The OCR of colour documents will be successful.

Changed the compression type used for OCR of colour documents.

Scotland Migration – Intellisense Templates

What have we done?

(Internal Reference D10-14882) Updated the migration service to intelligently handle which set of Intellisense templates should be set up when Scottish sites migrate from DM7 to DM10.

Why have we done this?

To prevent duplication of templates/creation of unwanted templates for Scotland sites with existing Intellisense templates.

How will you benefit?

Scotland sites will either have their existing Intellisense templates moved when migrating from DM7 to DM10, or they will a pre-defined set of Intellisense templates set up when migrating from DM7 to DM10.

Scotland – GP2GP Enhancement

What have we done?

(Internal Reference D10-15050) Amended the GP2GP operation so that the user can de-select the creation of the Clinical Summary and HL7.

Why have we done this?

Requested by Scotland.

How will you benefit?

Scotland only – ability to select Clinical Summary and HL7 in GP2GP.

GP2GP operation change, plus audit if the Clinical Summary and HL7 not required.
