Visibility settings for filed documents

This article will explain how filing settings changing will affect the visibility settings of a document.

Edit Filing Details

When viewing Patients Documents, in the Actions panel, selecting Filing Details allows you to edit the fields used when filing the document. Dependant on the edit required will affect whether you must set new visibility settings. The system will prompt you.

If you edit a document's event date, or clinical code, you must create a new copy of the document in EMIS, by selecting the Add Document Link to Emis Web tick box. This will create a new version of the document and file it into EMIS.

If you do this, you must choose its PFS status as though it was a newly filed document which cannot be sent for onward review.

A pop up warning will read:

PFS Visibility
PFS Visibility needs setting for new document
Please select PFS Visibility status for Clinical Letter
Visible | Not Visible

You will be responsible for selecting either the Visible or Not Visible option, and this will set its visibility in EMIS.

Audit activity in Docman

When a decision is made to set the visibility of a document, the document audit entry will include the date, time and users name who made the decision. And the audit will be updated with a statement of either:

Document has not been set as viewable for patient in Emis Web

Or

Document has been set as viewable for patient in Emis Web
