Patient Visibility settings when Filing - No Review

This article will show you how to set the patient visibility settings when filing a document that requires no review

Filing a Document

When filing a document you will have the choice of whether to:

  • File the document with NO Review / Workflow required

  • File the document and workflow to chosen recipient(s)

Let's take a look at the process for the first scenario.

File the document with NO Review / Workflow required

When a document is filed to the patient record, but not sent for review.

  1. In the Create Review dropdown field, No Review required is selected
  2. And the Add Document link to Emis Web tick box is selected
  3. Users will be presented with a new option: Visible to patient (via Online Services)

By default, the Visible to patient (via Online Services) tick box is selected.

Users must deselect the Visible to patient (via Online Services) tick box if they wish to prevent the document being made visible to the patient.

Once a decision has been made in Docman, the document is added to EMIS.

If a further change to the visibility is required, this must be actioned within EMIS, see the article here on EMIS Web Knowledge Base for guidance.

Audit activity in Docman

When a decision is made to set the visibility of a document, the document audit entry will include the date, time and users name who made the decision. And the audit will be updated with a statement of either:

Document has not been set as viewable for patient in Emis Web

Or

Document has been set as viewable for patient in Emis Web

Annotations when Filing

If a user Erases or Redacts part of a document at the point of filing, this will form part of the original document filed into EMIS. Therefore the edited document will be available to the patient via online services assuming the Visible to patient (via Online Services) tick box was selected.

To understand the considerations for setting visibility when a document is sent for review in a workflow, take a look at this article:
